Session Chair Guidelines

For NEURO2022, we humbly request that all session chairs and presenters participate on-site.
If problem happens for on-site participation, please contact NEURO2022 Secretariat immediately.

Session Chair Guidelines

We kindly ask session chairs to keep the following guidelines in mind.

Prohibition of photography, recording and use of cell phones

  • Please announce the following before the session begins.
    “I would like to remind you to turn off your cell phones. Please remember that unauthorized photography and tape recording are NOT permitted.”

Punctuality

  • Please arrive at the session room at least 20 minutes prior to the session and visit the Reception Desk to inform staff of your arrival and receive information related to your session.
  • If one of the chairs attends on-line, we would ask the chair at on-site to lead the sessions.
  • A computer will be prepared for you at the chair’s seat in the session room. This computer has been connected to the Zoom Webinar, and you can view questions from online participants. Please pick up questions from both on-site and online audience. Your video will be displayed to all participants at all times with exception to speaker presentations.
  • Presentation and discussion time for each speaker
    o Symposia: Decided at the session chair’s discretion
    o Oral Sessions: 10 minutes for presentation, 5 minutes for discussion
    o Wakate Dojo: 7 minutes for presentation, 8 minutes for Q&A and feedback
  • Session chairs have the right and are responsible for ending presentations in the event that presenters exceed their allotted presentation time. Please adhere to the above presentation and Q&A times.

About Q&A and Discussion

  • We kindly ask session chairs to prepare for insightful discussions, such as by bringing up questions designed to facilitate discussions in the event that no questions are asked. Please be sure to pick up questions from both on-site and online audience.

In the event that the speaker of your session is unable to present

Find the speaker’s coauthor and ask her/him to present. However, the presenter must be included in the list of coauthors.

  • If a substitute cannot be found, please announce a recess until the next presentation time.
  • Do not move the presentation schedule forward or start the next presentation.

For Chairs of Symposia

For Symposia with online presenters, rehearsal sessions to will be held starting 1 hour before the symposium start time. While a waiting room will be prepared for on-site Symposiasts, please note that online presenters will be inside the online rehearsal session. Please be sure to inform all speakers of the symposium details beforehand.

For Chairs of Oral Sessions

Oral presentations are 15 minutes. Each session consists of 4 to 5 oral presentations.

For Chairs of Wakate Dojo

Wakate Dojo is 15-minute length. Each session consists of 3 to 5 oral presentations.

“Wakate Dojo” is a special training session for young researchers with 7 min presentation and 8 min discussion (Q&A). During the discussion time, the first 5 min is especially for young researchers. Thus, priority will be given to the question from young researchers. The outstanding presentation will be awarded. The award ceremony will take place on July 1, 18:30-20:30, at the poolside or Room 8~10 (Laguna Garden Hotel). All awarded presenters are requested to attend the award ceremony.

Judging and evaluation of presentations:

Oral presentations will be graded on a 25-point scale. The 4 categories, 1) organization of content, 2) oral presentation, 3) Q&A performance during presentation, and 4) time management, will be rated in 5 (=outstanding) to 1 (=unsatisfactory). Additional points will be added if you ask questions in your Wakate Dojo session (max 5 points). Please tell your name and institution before you ask questions.

How to prepare your presentation:

The basic presentation, General introduction, Methods, Results and Discussion, are welcome. However, we also allow presentation focusing on the weakness of your current research and proposal-type presentation such as; what you have not achieved and what could be changed to get an answer.
